Work order reports and dashboard: late orders and who holds them
The ELX dashboard shows pending and overdue orders at every stage, the lifecycle report turns a whole work order into one PDF or print view, and files from every stage sit on one screen.
What do ELX work order reports and the dashboard show?
ELX reports and dashboards are how managers follow the work order pipeline: figures calculated from the stage data recorded in the system, and reports ready to print or download.
Operations KPI dashboard
Tiles for total, finished, maintenance and emergency orders and extracts, plus a pie chart per stage comparing orders within the time limit with late ones.
Who holds the late orders
Click the late slice of a stage chart to list its orders and who holds each, or click “notes” to see the orders in that status with their notes.
Work order lifecycle report
A section for every stage the order reached, with receipt and transfer dates, downloadable as a formatted PDF or opened in a print view.
Unified attachments, ZIP download
Every stage’s files for a work order on one screen, each with its source. Download one file, or several as a ZIP named after the order.
Daily digest
A screen of digest recipients, their orders per stage and today’s stock operations, plus a scheduled daily message via Telegram, and WhatsApp when enabled.
Your letterhead on printouts
Administrators edit the report header and footer in a rich-text editor, and they appear on the certificate, material balance, stock voucher and inventory report.
Stock reports and exports
A printable inventory report, PDF and Excel export of the material movement and requirements reports, and Excel export of the materials catalogue.
Excel templates with change review
For implementation items and materials, uploaded rows are compared with existing data and classed as new, update or skip, with errors and warnings shown before anything is applied.
Notification message log
Telegram messages sent for stage alerts and the daily digest, with date, phone number, whether each was sent or failed and any error, plus search by number and a result filter.
How do managers use reports and dashboards each day?
From the daily digest to a printed work order file, in five steps.
- 1
Read the daily digest
At the time the administrator sets, a digest arrives with orders registered today, receipts per stage and order aging in buckets of 0–2, 3–7, 8–14 and over 14 days. Channels and recipients are covered in instant notifications.
- 2
Open the dashboard
Each stage shows pending orders next to overdue ones, and figures are recalculated whenever the dashboard is opened or refreshed. To decide which figures to follow, read our guide to work order KPIs.
- 3
Chase late orders
Click the late slice to see the orders and who holds each, then open any order from the status search in the header to see its current stage, status and owner. More in work order management.
- 4
Prepare the work order file
Download the lifecycle report as PDF or print it, and bundle the stage files into one ZIP for a review or handover.
- 5
Print on your letterhead
Print the achievement certificate, material balance, stock voucher and inventory report with your company header and footer.
Why do managers find out about delays too late?
When status lives in spreadsheets and chat threads, a late order surfaces only once it is already a problem. In ELX the dashboard figures are calculated from the stage data on every open or refresh, so each number and the orders behind it come from the same source.
- Every stage shows pending orders next to overdue ones.
- Clicking the late slice reveals the orders and who holds each.
- Each user’s figures are scoped to their branches and districts; administrators see everything.
- Pending versus approved extracts on the same screen.
- Order statuses: not started, disconnection, notes, in progress, finished.
What is in the work order lifecycle report?
The report covers only the stages the order has reached, each with its receipt and transfer dates.
| Section | What it shows |
|---|---|
| Work order | Subscriber and mobile, city, district, branch, contract number, estimated value, duration, no-objection number, work description |
| Site survey (Kashfia) | Survey and material status, work details, drill types and lengths, whether a permit is needed |
| Permit | License number, municipality, request number and date, start and end dates, duration, status |
| Project or connection | Supervisor, dates, disconnection date, completion %, done-work value, meters, materials, items with prices |
| Quality, certificate and drawing | A separate section for each once the order reaches it; in the certificate section, users with edit rights can change each item’s executed quantity and the total is recalculated |
| PDF version | A formatted download that counts the attachments in each stage, alongside the print view |
Reports and dashboards: common questions
Which KPIs does the ELX dashboard show?
Total work orders, finished (archived) orders, maintenance and emergency orders and extracts; a chart for each stage from work order to drawing comparing orders within the time limit with late ones; pending versus approved extracts; and order statuses from not started to finished. Figures are recalculated every time the dashboard is opened or refreshed.
Does every user see the whole company’s figures?
No. A regular user’s figures cover only the branches and districts they are linked to, while administrators see the whole company. It is the same scoping, set in permissions and settings, that limits their stage lists, so the dashboard matches the work each person actually handles.
Can reports be downloaded as PDF or exported to Excel?
Yes, and the format depends on the report. The lifecycle report downloads as PDF or opens in a print view; the material movement and requirements reports export to PDF and Excel; the estimate report and materials catalogue export to Excel. The certificate, material balance and stock voucher print on your letterhead.
How do I collect all of a work order’s documents in one file?
Open the work order attachments screen, where files from every stage are gathered with their source. Download a single file directly, or select several or all of them and ELX bundles them into a ZIP named after the work order. The screen is also linked from the status search in the header, next to the full report.
What is the difference between the dashboard and the daily digest?
The dashboard is opened inside ELX whenever you need the current picture of each stage and a route to late orders. The digest is a message sent at a time the administrator sets, via Telegram, and WhatsApp when enabled, with order aging, load per stage and the day’s stock summary. See our daily digest guide.
Does the dashboard show why an order is late?
The dashboard shows which orders are late at each stage and who holds each one, and lists the notes of orders in “notes” status. Delay justifications themselves, with their text and files, are reviewed from stage lists and distribution screens, and can be made mandatory before a late order is relayed. See our guide to stage time limits and delay justifications.
Can reports and screens be tailored to our company?
Administrators edit the report header and footer themselves, and the certificate, material balance, stock voucher and inventory report print with them; several reports also export to Excel for anyone who wants to work the figures their own way. Beyond that, Matrix offers customisation of screens, reports and stages to each contractor’s needs alongside ELX, together with user training and technical support on WhatsApp. Tell us what you need.
